Managing & Troubleshooting Data Templates
Answers to the two most common questions: (1) how to locate, manage, and delete Data Templates (with the right permissions), and (2) what to do if the “Data Template” option is missing when you try to use it.

Overview
Data Templates define the exact fields (types, units, pick‑lists, translations) that your teams use to capture structured results. Keeping them tidy avoids duplicates and ensures clean reporting.
Find, manage, or delete a Data Template
Use this flow when users ask how to locate templates, update them, or remove them safely.
Locate the template
Open Data Templates from the main navigation.
Search by Name, ID, Owner, or Tags. Use filters to narrow results.
Open a template to review its Details and Usage.
Edit vs delete: choose the safer path
Edit when the template is still relevant but needs tweaks (add fields, fix labels, adjust pick‑lists, add translations).
Duplicate when you need a variant for a different product/site but want to keep the original intact.
Request deletion only if it’s truly obsolete. Deletion is Admin‑only via API; there is no delete option in the Albert UI. See Deletion impact & permissions.
Request deletion (admin‑only)
Confirm there are no active dependencies in Usage (recent tasks, reports, or automations relying on it).
If dependencies exist, coordinate with owners to migrate to another template (update task templates, reports, etc.).
Submit a deletion request to an Admin with the template ID, owner, and a brief impact note.
Admin performs deletion via API. There is no delete option in the Albert UI.
Notify affected teams and update any task templates/reports to the replacement.

Permissions required
Only Admins can delete Data Templates, and only via the API.
There is no delete option in the Albert UI. Request deletion from an Admin or support with the template ID and justification.
What deletion affects
Historical task records remain, but you will lose the ability to reuse the deleted template in new tasks.
Task templates, shortcuts, or automations referencing the deleted template will no longer function until updated.
Reports that pivot on the template’s ID may need to be adjusted to the replacement template.

“Data Template” option is missing
If users cannot see or select a Data Template where they expect it, walk through these checks.
Common causes
Permissions: The user lacks access to view or use Data Templates.
Scope: The workflow/page supports templates only in certain contexts (e.g., creating a specific task type).
Filters: Active filters hide templates by owner, location, or tags.
Template state: Template is confidential/restricted or archived by policy.
Steps to re‑enable
Clear filters in the Data Templates list and search by full or partial name/ID.
Try from a known‑good entry point (e.g., the task creation flow that supports attaching templates).
Ask an owner/admin to confirm the template isn’t confidential to another team or location.
If missing for all users, verify no org‑wide policy recently changed visibility.
Permission checks
Have the user open a template they can see. If none are visible, they likely need access granted.
Admins can add the user to the appropriate group/role or share the specific template.
If still blocked, contact support@albertinvent.com with the user email and template ID.
FAQ
Can I recover a deleted Data Template?
Deletion is performed by Admins via API. Recovery depends on your organization’s retention policy and will require Admin approval and Albert Support intervention.
Will deleting a template remove historical results?
No. Existing task data remains. You’ll only lose the ability to reuse that template going forward.
What’s the best way to roll out a revised template?
Duplicate the current template, make changes, pilot with a small team, then switch your task templates to the new version.
